Updated 26 September 2026. Freshdesk details come from Freshdesk's own documentation and pricing pages, checked on that date and linked below. Flowcall details come from our product catalogue.
If your team runs customer service on Freshdesk today, or has it on a shortlist, this page is for you. It is written for consumer brands whose support volume is mostly orders, deliveries, returns and refunds — the jobs in our ecommerce customer service guide — arriving on WhatsApp, Instagram, email and phone.
Quick look: who each is best for
Freshdesk is best for teams that want a mature, self-serve helpdesk they configure themselves, with published prices and a large app marketplace. It suits companies already using other Freshworks products, and teams that need channels or features Flowcall doesn't offer: SMS, LINE, community forums, a public help centre, or phone service from the same vendor.
Flowcall is best for consumer brands with a high volume of order, delivery and return work across WhatsApp, Instagram, email and phone, who want an AI Agent and an AI Helpdesk that Flowcall's team sets up and keeps improving with them. It also suits teams that want to start with Flowcall alongside Freshdesk rather than replacing it on day one.

Channels
Freshdesk now sells two products. Freshdesk Omni brings email, web chat, WhatsApp, Facebook and Instagram into one unified inbox. Freshdesk (without Omni) covers email, Facebook and a basic web chat. This split applies to accounts created from December 2025 (Freshdesk: Getting started with Freshdesk Omni). So if WhatsApp and Instagram matter to you, the comparison is with Freshdesk Omni.
Flowcall puts WhatsApp, email, Instagram, live chat and phone conversations in one inbox. When the same customer writes on another channel while their issue is open, Flowcall keeps it on the same ticket, with the whole history visible. Channels are linked to one customer through a matched Shopify customer, a Live Chat visitor's phone number or email, or an agent merging duplicate contacts; a new Instagram contact isn't matched to an existing customer automatically. With Customer 360, the ticket also shows the customer's orders, deliveries, payments and refunds from connected systems such as Shopify, so agents don't open other tools to look them up.
Both products cover the main messaging channels. What matters is whether they behave as one conversation — the test for omnichannel customer service. The practical questions for your team are:
- Does a customer who messages on Instagram and then calls end up on one ticket or two?
- Can agents see the order and delivery details without leaving the conversation?
- Does the AI agent behave the same on every channel you use?
AI agent and actions
Both products can do more than answer questions.
Freshdesk's AI Agent can pick up new conversations on WhatsApp, web chat, Instagram and Facebook and hand them to human agents (Freshdesk: AI Agent behaviour in Freshdesk Omni). In AI Agent Studio, teams create API actions that connect to systems such as Shopify and Shiprocket, chain several calls in one workflow — Freshdesk's example fetches an order and then starts a refund — and ask the customer to confirm before a sensitive action (Freshdesk: API actions). Freshdesk recommends testing write actions such as cancellations and refunds in a sandbox first.
Flowcall turns a brand's procedures for returns, refunds, cancellations, exchanges and warranty claims into workflows the AI Agent follows step by step. Your rules decide what the AI may do: required checks, eligibility conditions and approvals must pass before a refund, cancellation or replacement happens. The AI then completes the action in your order, delivery, payment or refund systems. Before a workflow goes live, and after every change, it is run against simulated customer conversations.
The difference is less about whether actions are possible and more about who designs them, how policy rules are enforced, and who keeps them working as your policies change. That is covered under Setup and who runs it.
When the AI hands over to a person
Most high-volume teams will still send some conversations to people: exceptions, angry customers, high-value orders.
In Flowcall, the handover creates a ticket with the conversation, a summary, the customer and order details, and what is left to do. Automated ticket routing assigns it by skill, language, workload, sentiment or escalation risk. The agent can process a refund, create a replacement or update the order from the ticket. If the warehouse, finance or a field technician has to act, the agent opens a child ticket for them while the customer's ticket stays open and owned.
Freshdesk documents AI Agent handover to human agents and assignment rules for AI-handled tickets. Compare the two on a real exception from your own queue: what does the agent see first, and what do they have to ask the customer again?
Phone
Freshworks sells its own phone product (Freshcaller, now part of Freshdesk Contact Center) separately, and Freshdesk Omni's pricing page lists "bring your own telephony" for using your own number and carrier (Freshdesk Omni pricing).
Flowcall doesn't provide a phone carrier or dialer. Its phone integration connects to providers such as Exotel, Ameyo, Ozonetel and Contaque: calls open with the customer's context and are logged, recorded and transcribed on the ticket. A Voice AI agent that answers and makes calls is available in enabled deployments.
If you want one vendor for the phone line itself, Freshworks offers that and Flowcall doesn't.
Quality review and improvement
Flowcall's AI Quality Assurance audits AI and human conversations on WhatsApp, Instagram, live chat, email and phone against your standards. For the AI agent, it checks for wrong, incomplete or made-up answers, loops, missed handoffs, and promises or actions it wasn't allowed to make. For human agents, it checks for inconsistent information and for asking customers again for details they already gave. It also groups the requests the AI couldn't resolve into workflows, knowledge or integrations worth adding next. A finding can be sent to Admin Copilot, which builds the change and shows it to you for approval.
Freshdesk offers Freddy AI Insights for analysing performance and emerging issues. Check its current documentation for what it reviews and how findings turn into changes.
Setup and who runs it
This is the biggest practical difference.
Freshdesk is self-serve. Your team configures the helpdesk, builds AI Agent workflows and API actions in AI Agent Studio, tests them and maintains them. That suits teams with the time and skills to own an automation programme. Freshdesk's pricing is public, so you can budget before talking to anyone.
Flowcall is set up and improved with you. As part of the engagement, Flowcall's team configures workflows for your products, policies, integrations and edge cases, and builds the integrations those workflows need (subject to access to your systems). After launch, the team reviews QA findings, new use cases and policy changes, and updates the setup. You can see what the AI did in any conversation — which workflow ran, what data it used, which action it tried — and approve changes before they go live.
Neither model is better for everyone. The question is whether your team wants to own the building, or own the decisions.
Where Freshdesk is the better choice
- You want a self-serve tool with published prices. Freshdesk lets you sign up, configure and budget without a sales call.
- You need SMS, LINE or community forums. Freshdesk Omni lists them; Flowcall doesn't support SMS, RCS or LINE.
- You need a public help centre or customer portal. Flowcall's knowledge base powers the AI; it isn't a public help centre.
- You want one vendor for your phone line. Freshworks sells its own phone product; Flowcall connects to your telephony provider instead.
- You use other Freshworks products such as Freshservice or Freshsales and want one suite.
- Your support isn't order-heavy, for example an internal IT helpdesk or B2B software support.
What Freshdesk users say
Freshdesk is well rated. When we pulled its G2 reviews in February 2026, it averaged 4.4 out of 5 across about 3,500 reviews. The most common praise is how easy everyday ticket handling is to learn.
The criticisms that recur in 2024 reviews are about administration and packaging rather than day-to-day use. One mid-market reviewer found ticket handling easy but administration complex, with setup steps they had to relearn (G2 review, December 2024). An enterprise reviewer said features they considered essential, such as dynamic ticket fields, needed add-ons (G2 review, November 2024). Others mention advanced reporting and automation sitting in higher tiers.
These reviews predate Freshdesk Omni's current AI Agent features, so treat them as a picture of the helpdesk, not of the AI.
Switching, or running Flowcall alongside Freshdesk
You don't have to replace Freshdesk to try Flowcall.
Run alongside Freshdesk. Keep Freshdesk as your helpdesk and system of record, and add Flowcall where you need it:
- AI Agent on your channels. Flowcall's AI Agent handles the conversations you choose on WhatsApp, Instagram, email or live chat. It resolves what it can under your rules and, for everything it hands over, creates or updates the Freshdesk ticket with a summary and adds notes, through an integration built for your account. Your agents keep working in Freshdesk.
- AI Quality Assurance on top of Freshdesk. Flowcall's QA can review the conversations your team handles in Freshdesk — for example, auditing the emails your agents answer there — and show where answers, handovers or policy go wrong.
What the integration can do depends on Freshdesk's API, and it's set up for your account.
Start with one workflow. An engagement can begin with a scoped proof of concept: one agreed workflow — returns, for example — and the integrations it needs, tested by your team before a controlled production rollout. You can then add workflows or channels after your own review.
Move when you're ready. If you later move off Freshdesk, Flowcall's team can migrate agreed, mapped customer history, tickets and conversations, where Freshdesk access or exports allow it. The scope, field mapping and validation are agreed first. It isn't a promise to move everything.
Pricing
Freshdesk publishes its prices on its Omni pricing page, including AI Agent sessions and add-ons; our Freshdesk pricing guide explains the plans, add-ons and how AI sessions are billed. Flowcall shares pricing on a call.
Which should you choose?
Choose Freshdesk if you want a self-serve helpdesk your team configures and maintains, you need SMS, LINE, community forums or a public help centre, or you want your phone line and helpdesk from one vendor.
Choose Flowcall if most of your volume is order, delivery, return and refund work on WhatsApp, Instagram, email and phone, you want the AI to follow your rules before it acts, and you want Flowcall's team to build and keep improving the workflows with you — starting alongside Freshdesk if you prefer.
| What matters to you | Better fit |
|---|---|
| Self-serve setup with public prices | Freshdesk |
| SMS, LINE, community forums, public help centre | Freshdesk |
| One vendor for helpdesk and phone line | Freshdesk |
| WhatsApp, Instagram, email and phone on one ticket per issue, with order context | Both cover the channels; compare on your own tickets |
| AI that must pass your eligibility rules before refunds or cancellations | Flowcall |
| Workflows built and improved by the vendor's team, with your approval | Flowcall |
| Review of every AI and human conversation, with fixes you approve | Flowcall |
| Try without replacing your current helpdesk | Flowcall |
Both are credible choices. The right one depends on how much of your support is order work, and whether your team wants to build the automation or direct it. If you're still building a shortlist, our comparison of ecommerce help desk software covers nine options, and our guide to Freshdesk alternatives compares tools that replace Freshdesk.
If Flowcall sounds like the fit, book a demo. Qualifying brands get a free proof of concept on the service problem they most need solved, built with their team and tested before anything goes live.
